Advanced Secure Search Capability
NearPoint’s Continuous Application Shadowing provides full message fidelity at capture, so you can create powerful search queries to find all types of Exchange items, including messages, calendar entries, contacts, and notes. Using NearPoint’s secure search functions, auditors can look for emails and other items including calendar events based on keywords within subject line, message body, and/or attachments.
You can search “From” and “To” fields and define search time periods which increases the discovery process efficiency and lets you recreate a point-in-time views of communications between individuals. With eDiscovery, teams can work together to respond to a discovery request or complete an internal audit. Search criteria can be saved and shared among users, ensuring consistent and accurate results for frequently used search patterns. Messages can be placed on retention hold to prevent deletion and shared with other auditors or legal staff to facilitate a review workflow. Upon completion, review results are exportable in Outlook® PST files suitable for external counsel review or court-ready production.
Compliance
Proper retention and disposition of email is critical when meeting internal corporate policy objectives or external regulations such as Sarbanes-Oxley Act, HIPAA, SEC Rule 17a-4, and Gramm-Leach-Bliley Act.
Mimosa NearPoint provides a tamper resistant archive and automated system that enforces email retention by tracking email creation time and applying policies set by the administrator. At expiration of the retention period email is permanently expunged from the NearPoint server.
You can set retention policies at mailbox and folder levels for all message classes such as messages, appointments, and contacts. In case of an investigation, a “suspend of disposition” can be placed on one or many mailboxes preventing items from being purged until the hold is removed. For compliance with SEC rules for immutable storage, Mimosa NearPoint supports write-once, read-many (WORM) storage devices such as EMC Centera and KOM Networks KOMpliance products.
